Welcome to Northwood University’s Catering. We pride ourselves in offering our students a hands on experience while offering you a variety of services to meet your needs. The information below will help you in the process of organizing your event. These policies must be agreed to by catering customers when submitting their Catertrax Orders and constitute a contractual agreement between the parties.
Whether on or off campus, the event location needs to be reserved first through 25LivePro, along with room set-ups, media services, and other details, a minimum of fourteen days in advance.
Please ensure that you have tables ordered and that the facilities are unlocked to allow for prompt delivery and clean up. If set up is required more than thirty minutes before the event, advance notice is required and must be scheduled through 25LivePro for equipment ordering and through CaterTrax for catering services.
If your event is not on Northwood University Property we may assess a Delivery Fee. This Fee will be based on the distance we need to travel as well as the complexity of the event. The Delivery Fee will be listed on your Catering Order and is subject to Michigan State Sales / Usage Tax (unless you are tax exempt and we have a copy of your tax exempt certificate on file).
The Catering department does not assume liability for adverse reactions to foods consumed, or items one may come into contact with while eating on site. For the health and safety of our customers, we do not package leftover food for our clients. We do not provide to go containers and all leftover food will be taken by the catering staff and discarded in an appropriate way. The Catering department will not transport any food to a secondary location and will not hold food that has been on display for later consumption.
The Catering Department does not participate in cooperatively catered events.
Catering arrangements and menu selections need to be confirmed seven business days prior to your event. Events that are scheduled less than that will be assessed a Late Fee of $100.00 minimum or based on the type of service that is required for the event to take place. While we can sometimes accommodate your needs with less lead-time, sufficient notice allows us to schedule appropriately. In lieu of catering, “Take Out” items are available for pick up for events within seventy-two hours or when catering services are not needed.
If a guaranteed number is not received seven days prior, your last estimate we have on file will be considered your final guaranteed count. Billing will reflect the actual number of guests served or the final guaranteed count, whichever is greater.
All cancellations and/or changes to event arrangements such as set up or locations must be confirmed three business days prior to the event. Guest count changes during this time are not guaranteed.
For Non-Northwood Catering Events a 50% down-payment is required 30 days prior to the event date. If the event is booked with less that 30 days notice then down-payment is due at time of booking. If event is booked, but a menu has not yet been selected then a $300 booking fee may be charged. This fee will be applied to the down-payment once the menu is finalized.
Final payment is due at time of event service. We will work with you on the exact timing of this. Northwood Catering accepts Visa, MasterCard, Check, & Cash. All events will be subject to Michigan State Sales/Usage Tax, unless we have a copy of your tax exempt certificate on file.
If you choose, you may ask the Catering Department to add a gratuity to your event total.
Alcohol beverage sales and services are regulated by the State of Michigan and the Catering department is responsible for the administration of these regulations. Alcoholic beverages may not be brought on site and must be purchased and dispensed through the Catering department. Service of alcoholic beverages to minors under the age of twenty-one will be refused. We also reserve the right to refuse service to individuals when deemed necessary.
Northwood Catering offers biodegradable disposable service-ware as well as China Service unless otherwise requested.
As a standard, we provide white tablecloths for all stand-alone food and beverage tables unless otherwise instructed. Linens for guest tables are included in full service breakfasts, lunches, dinner and buffets. All other linens can be provided at an additional charge.
Other linen colors are subject to availability and may incur additional charges.
Continental breakfasts, breaks, and receptions are priced for self-service. Events served on china will require wait staff. Events that do not require a server present, late night and/or weekend orders may be picked up the next business day.
The host or individual that authorizes a catering order is responsible for the equipment we have provided for the catered event. If any equipment is lost, damaged, or removed from the service site, a replacement cost will be applied to your invoice.
For very large events where equipment rental is necessary or events requiring specialty equipment, additional charges will apply.
Decorations may not be nailed, stapled, thumbtacked or taped with heavy adhesives to the walls, ceiling, stage, and/or fixtures. Confetti and glitter decorations are not permitted. Open flame candles are not permitted unless in enclosed containers. Any balloons that are used must be weighted down. All decorations must be completely removed prior to leaving.
Sponsors will be held liable for any damage caused by the use of the decorations or any damage caused by its guests.
Special menus require advance notice of at least fourteen business days. Special menu pricing is available through the catering manager only.
For individuals with special dietary requests, substitute entrée options need to be indicated by the time the final guaranteed count is confirmed. Special requests received less than seven business days prior to your event may incur service fees if additional preparation time is required.

Please remember to place your orders in the CaterTrax system or with the Catering Office three business days in advance. If the order is not placed three business days in advance, there will be a late fee (10% of the entire order with a minimum fee of $10.00)
The Student Organization Menu is designed to keep your prices low for special events. It is an alternative to full service catering, as your organization is responsible for pick up, set up, and clean up
As per Northwood University policy, food waivers will not be given for items able to be prepared by Northwood University Catering Services
If you are looking for a special menu, we have an excellent culinary staff that can assist you with a customized menu. Please contact us a minimum two weeks prior to your event to ensure availability
